Privacy Policy

Introduction

At Equinited Limited ("Equinited", "we", "our", "us"), we prioritise the security and privacy of your personal data. This policy outlines how we collect, use, protect, and share information gathered through the Stable Manager service (the "Service") — including the web app, iOS app, and our marketing site at stables.cloud.

Equinited Limited is a company registered in England and Wales, company number 13319066. We are the data controller for the personal data described in this policy and are registered with the UK Information Commissioner's Office (ICO) under registration number ZC181278.

Data We Collect

  • Personal Information: We collect your real name and email address during registration to create your account and facilitate communication. If you subscribe to a paid plan, we collect billing information through our payment processor (see Payment Processing below).
  • Stable Information: We collect operational data you enter into the Service — horse records, treatment notes, schedules, contacts (e.g. vets, farriers), and similar — to provide the Service to you and your stable's team.
  • Activity Data: Usage details such as your IP address, device type, the date and time of your activity, and accessed features are collected to improve the Service, develop new functionality, address technical issues, and prevent misuse.
  • Notification Emails: If you opt in to notifications within the app, we use your email address to send you scheduled summaries of your stable's diary, treatments, and reminders. You may withdraw this consent at any time by turning off notifications in your app settings.
  • Marketing Emails: We will only send you promotional or marketing emails (e.g. product updates, new features, announcements) if you have given separate, explicit opt-in consent. You may withdraw consent at any time using the unsubscribe link in any marketing email, or by emailing us.
  • Support Correspondence: When you contact our support team, we keep your messages and our responses for as long as needed to resolve your query and to improve our support over time.

Cookies and Tracking

The Stable Manager website uses cookies and similar technologies for three purposes:

  • Strictly necessary cookies: Required for core functionality such as signing in and remembering your selected stable. These are always enabled and cannot be turned off.
  • Functional cookies: Remember your preferences (e.g. language, units, layout choices). Used only with your consent.
  • Analytics cookies: Help us understand how the Service is used so we can improve it. Used only with your consent. Aggregated and not used to identify you individually.

You can manage your cookie preferences at any time through the cookie banner displayed on first visit, or via your browser settings. We do not use cookies for advertising or tracking across other websites.

Purpose of Data Collection

The data we collect is used to provide and improve the Service, deliver scheduled notifications you have opted into, process payments for paid subscriptions, respond to your support requests, ensure platform security, and comply with our legal obligations.

Legal Basis for Processing

  • Performance of a contract: Your name, email address, billing information, and stable data are processed to create and manage your account, deliver the Service, and process payments.
  • Legitimate interests: Activity and usage data is processed to improve the Service, ensure security, and prevent misuse.
  • Consent: Notification emails, marketing emails, and non-essential cookies are processed only with your consent, which you may withdraw at any time.
  • Legal obligation: Data may be processed where required to comply with applicable law.

Payment Processing

If you subscribe to a paid plan, card payments are processed by Stripe Payments Europe Ltd (Stripe). We do not store your full card number, security code, or bank details on our systems — Stripe handles all card data on our behalf. We share only the minimum information required to set up and manage your subscription (your name, email, and subscription details). Third-Party Service Providers

We work with a small number of carefully chosen service providers who act as data processors on our behalf:

  • Amazon Web Services (AWS), United Kingdom region: Cloud infrastructure (servers, database, email delivery).
  • Stripe Payments Europe Ltd: Payment processing for paid subscriptions (see Payment Processing above).
  • AI providers: We use artificial intelligence to help us answer support enquiries and provide in-app help. Some AI processing happens on infrastructure we control directly; some queries may be processed by third-party AI providers (currently Anthropic) under terms that prohibit your data being used to train their models. We do not send sensitive personal data (e.g. payment details) to AI providers.

Each of these providers is subject to a data processing agreement requiring them to handle your data in line with this policy and applicable law. We do not sell your personal data to anyone, ever.

Data Sharing and Disclosure

Beyond the service providers listed above, we do not share your personal data with third parties. Data may be disclosed to comply with legal requirements such as law enforcement requests or court orders, or to protect the rights and safety of our users and the public.

Your Rights

Under UK GDPR and EU GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate personal data.
  • Delete your personal data (subject to legal retention requirements).
  • Restrict or object to certain processing.
  • Portability: receive your personal data in a structured, commonly used, machine-readable format so you can transfer it to another service.
  • Withdraw consent for processing based on consent at any time.
  • Complain to the UK Information Commissioner's Office (ico.org.uk) if you believe we have not handled your data correctly.

Stable Data and Multi-User Accounts

A Stable Manager stable is shared between an owner and the team members the owner invites. Operational data entered into a stable (horse records, treatment notes, schedules, contacts) is associated with the stable, not with the individual user who entered it. If you leave a stable, your personal data (name, email) is removed from the team list but the operational data you entered remains part of the stable's records, which belong to the stable owner. If a stable owner closes their account, the stable and all its operational data are deleted, subject to a short retention period for backups and audit.

Data Security

We implement appropriate technical and organisational security measures to protect against unauthorised access, alteration, or destruction of data. This includes encrypted transport (HTTPS), encrypted database connections, restricted access to production systems, and regular security review. Our security practices are reviewed and updated on an ongoing basis.

Data Retention

We retain your personal data for as long as your account remains active, or as needed to provide the Service. If you request deletion of your account, your personal data is removed promptly from our active systems. Usage and activity logs are retained for up to 12 months for security and audit purposes. Backups containing personal data are typically retained for up to 90 days and then rotated out.

International Data Transfers

Our infrastructure is hosted in the United Kingdom. Some service providers (notably Stripe and our AI providers) may process data in the European Economic Area or other jurisdictions. Where personal data is transferred outside the UK or EEA, we rely on adequacy decisions, Standard Contractual Clauses, or other lawful transfer mechanisms to ensure your data continues to be protected to UK/EU standards.

Children's Privacy

Stable Manager is intended for use by adults running stables on behalf of horse owners and staff. We do not knowingly collect personal data from anyone under the age of 16. If you believe we have inadvertently collected such data, please contact us at support@stables.cloud and we will delete it promptly.

Changes to This Policy

We may update our Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "effective date" at the top. Significant changes affecting your rights will be notified by email.
